Trader / Vendor Terms and Conditions

RIGHT TO REFUSE OR REMOVE
A&L Events reserves the absolute right, at its sole discretion, to refuse entry to, or remove from the event, any Trader, staff member, vehicle, or equipment that does not comply with these Terms and Conditions, poses a safety risk, breaches licensing, insurance, or legal requirements, or behaves in a manner deemed inappropriate, unsafe, offensive, disruptive, or contrary to the smooth running of the event. In such circumstances, no refund will be given, and A&L Events shall not be liable for any losses, costs, or damages incurred by the Trader as a result.

1. Definitions

The term “Trader” refers to any Exhibitor, individual, company, charity, or organisation either paying for or receiving trading space through an agreement with A&L Events.

2. Booking and Confirmation

A booking is confirmed only once A&L Events has approved the application, received a completed and signed form, and received full payment or the required deposit.

3. Payment Terms

Both deposit and full payment must be received by the stated due date. Failure to do so may result in cancellation or resale of the pitch without notice. Bookings made less than four weeks before an event require full payment at the time of booking and are non-refundable.

4. Cancellations by Traders

Cancellations made less than six weeks before the event are non-refundable. All required documentation must be submitted no later than 28 days prior to the event or the booking may be cancelled without refund.

5. Steward / Green Room Meals

Hot food traders must provide the number of complimentary Green Room meals stated on their invoice. Meals consist of one main and one side. Additional meals will be paid for in cash at the point of order.

6. Staff Passes

Staff passes are limited to the number shown on the invoice. No passes will be issued to anyone under 18. Children under 16 must not be brought to the event as part of a trading crew.

7. Pitches and Layout

Outdoor pitches are space only. Traders must trade within their allocated pitch and may not alter the event layout or encroach beyond the designated trading line.

8. Products and Trading Restrictions

Only products approved on the application form may be sold. No merchandise featuring bad or offensive language may be sold or displayed by Traders or their staff. No political merchandise, messaging, or slogans may be sold, displayed, or worn by Traders or members of their staff. Unauthorised sales or displays may result in immediate removal without refund.

9. Electrical Supply

Electric hook-ups must be booked in advance. Traders exceeding their allocation or using non-compliant equipment may be disconnected without refund. Overnight power is not provided.

10. Generators, Gas and Fire Safety

Only silent diesel, gas, or dual-fuel generators are permitted. Petrol generators are prohibited. All Traders using any type of power for cooking or any other purpose must provide fire extinguishers of the appropriate classification with in-date certification. All safety and fire regulations must be complied with at all times.

11. Food Safety and Compliance

Food traders must provide valid food hygiene certification and comply with Environmental Health requirements at all times.

​

12. Event Cancellation

A&L Events may cancel an event due to extreme weather or circumstances beyond its control. No refunds or liability for losses will apply. In the event of cancellation, A&L Events will provide any reasonable documentation required by the Trader to support insurance claims made through the Trader’s own insurance provisions.

13. General Conditions

Failure to comply with these terms may result in removal without refund. Traders are responsible for waste disposal and site cleanliness. Subletting pitches is strictly prohibited.

​

14. Conduct and Liability

Abusive or threatening behaviour will not be tolerated. Traders are responsible for the security of their own property. Parking is at the owner’s risk.
